Collecting documents by email, without chasing.
Clients already send bills by email. The trick is making sure each one lands in the right place without anyone sorting a shared inbox.
Give every client their own address
A single bills@ address for the whole firm means someone has to work out which client each email belongs to. One address per client removes that step: whatever arrives is already in the right folder.
Decide who you trust
An address that imports anything is an address that imports spam. Keep a short list of trusted senders per client — their own domain, their regular suppliers — and hold everything else for approval rather than dropping it.
Tell suppliers once
Most suppliers let you change where bills are sent. Ask the client to update:
- recurring suppliers' billing email
- utilities and subscriptions
- any portal that emails a PDF each month
